1. Overview
You may cancel your subscription at any time via the client portal. Cancellation takes effect at the end of your current billing period. No pro-rated refunds are issued for unused time.
This policy outlines the terms for cancelling your AnyVision Media subscription, add-ons, and setup services, as well as the conditions under which refunds may be issued. It applies to all plans, add-ons, setup fees, and overage charges associated with the AnyVision Media platform ("the Service").
This Cancellation and Refund Policy forms part of our Terms & Conditions. By subscribing to or using the Service, you acknowledge that you have read and agree to the terms set out below.
2. Cancellation Process
You may cancel your subscription at any time by following these steps:
- Log in to the client portal at portal.anyvisionmedia.com.
- Navigate to Billing > Subscription.
- Click "Cancel Subscription".
- Confirm your cancellation when prompted.
- You will continue to have full access to the Service until the end of your current billing period.
- All workflows will pause automatically at the end of the billing period.
- Your data is retained for 30 days after cancellation, then permanently deleted.
You will receive a confirmation email once your cancellation has been processed. If you do not receive confirmation within 24 hours, please contact our billing support team at admin@anyvisionmedia.com.
3. Monthly Subscriptions
- Monthly subscriptions can be cancelled at any time without penalty.
- Cancellation takes effect at the end of the current monthly billing period.
- No refunds are issued for partial months. You will not be charged for the portion of the month remaining after your cancellation date; however, no refund will be issued for the portion already paid.
- Service continues with full access until the end of the period for which you have already paid.
Example: If your billing date is the 1st of each month and you cancel on the 15th, you retain full access to the Service until the end of that month. Your next billing date (the 1st of the following month) will not be charged.
4. Annual Subscriptions
Annual subscriptions are billed upfront for the full year at a discounted rate. The following terms apply to annual plan cancellations:
14-Day Cooling-Off Period
If you cancel within 14 days of your annual subscription purchase, you will receive a full refund minus any usage charges calculated at the equivalent monthly rate for the days used. This cooling-off period is provided in accordance with the Electronic Communications and Transactions Act 25 of 2002 (ECT Act).
After the Cooling-Off Period
- No refund is issued after the 14-day cooling-off period has elapsed.
- Your service continues with full access until the annual period expires.
- Annual subscriptions are not refunded upon early termination except in exceptional circumstances (see Section 9).
- Your subscription will not auto-renew once cancelled. If you wish to continue using the Service after your annual period ends, you will need to subscribe again.
5. Free Trial Cancellation
- You may cancel your free trial at any time during the 14-day trial period at no cost.
- No charges are incurred if you cancel during the trial.
- If you provided payment details during the trial sign-up process, they will not be charged provided you cancel before the trial ends.
- Workflows pause immediately upon trial cancellation.
- No data is deleted when you cancel a trial. You may resume at any time by selecting a paid plan.
If you do not cancel before the trial period ends, your selected plan will activate automatically and your payment method will be charged accordingly.
6. Add-on Cancellation
- Individual add-ons can be cancelled at any time via the portal billing page.
- Add-on cancellation takes effect at the end of the current billing period.
- No partial refunds are issued for add-ons.
- Resource bonuses from cancelled add-ons (such as extra messages or lead credits) cease at the end of the billing period.
- Cancelling an add-on does not affect your base subscription. Your plan remains active and unmodified.
If you have multiple add-ons, each must be cancelled individually. Cancelling your base subscription will also cancel all associated add-ons at the end of the billing period.
7. Setup Fee Refunds
Setup fees are one-time charges for professional configuration services performed by our team. Refund eligibility depends on whether work has commenced at the time of your cancellation request.

To request a setup fee refund, email admin@anyvisionmedia.com with your invoice number and the reason for your cancellation request. Refund requests are processed within 10 business days.
8. Overage Charges
- Overage charges (R0.50 per message and R2.00 per lead above your plan limits) are billed at the end of each billing period.
- Overage charges are non-refundable as they reflect actual usage of the Service.
- If you believe an overage charge is incorrect, contact our billing support team within 14 days of the charge appearing on your invoice.
- We will review your usage logs and, if a billing error is confirmed, issue a credit to your account.
- Credits are applied to your next billing period and are not refunded directly to your payment method.
You can monitor your current usage and overage thresholds at any time via the client portal dashboard.
9. Exceptional Circumstances
We may issue refunds or credits outside the standard policy in the following circumstances:
- Extended service outage: If the Service is unavailable for more than 72 continuous hours (excluding scheduled maintenance and force majeure events), you are eligible for a pro-rated credit for the affected period. Credits are calculated based on the number of full days of outage relative to your billing period.
- Death or incapacity: In the event of the death or legal incapacity of a sole proprietor subscriber, the remaining balance of an annual subscription will be refunded upon provision of supporting documentation (such as a death certificate or medical certificate issued by a registered practitioner).
- Business liquidation: Refund requests related to the liquidation or deregistration of a subscribing entity will be handled subject to the provisions of the Insolvency Act 24 of 1936 and the Companies Act 71 of 2008.
- Our error: If you were charged incorrectly due to a platform billing error, we will issue a full refund of the incorrect amount to your original payment method within 10 business days of confirmation.
All exceptional refund requests must be submitted in writing to admin@anyvisionmedia.com within 30 days of the event giving rise to the claim. Requests must be accompanied by relevant supporting documentation.
